Exporting your data from Formitable

How to export guest data, email addresses, (un)redeemed vouchers or sold takeaway. A list of all possible exports you can run in Formitable

Formitable offers several overviews and dashboards with key figures and numbers. With additional Excel exports, you can dig even deeper into the data to analyze sales, trends, and metrics that are important to your restaurant, stakeholders, or marketeers.

We tell you where to find the different exports and what they include.


⚠️ Make sure your guest's data does not end up in the wrong hands

A word of caution: Formitable allows you to export all kinds of guest data including personal information. You as a restaurateur legally remain responsible for this data. Under EU GDPR law you are required to only use it in a sensible, consensual way and delete it if requested by the guest.

📌 Information for bookkeepers:
Final VAT needs to be provided by the restaurant to the end-consumer / guest

The easiest way to get the correct final value-added tax (VAT) information is from the POS/cash register system, as all guests need to receive a final bill.

When guests order a gift voucher, pay a deposit for a reservation, or even pay the full price for an event through Formitable, the final VAT amount is not determined yet. We as Formitable cannot guess beforehand what proportion is spent on drinks (high VAT) or food (low VAT).

Therefore, we as Formitable also can't provide guests with invoices containing VAT. The final VAT can only be provided by the restaurant itself on the final bill to the guest.


🎁 Exporting all gift vouchers (incl. status)

The voucher export contains the value of the voucher, the expiration date as well as the status (open, redeemed, expired). To match these vouchers with your administration in the restaurant, we included the order ID and the last 4 digits of the unique voucher code.

🥡 Exporting all sold takeaway products per day

For your stock keeping and planning, you can see how many of each takeaway product (and their extras/options) you have sold on a particular day. You also see the total income per product incl. or excluding VAT (in case you entered the proper VAT for each takeaway product and option).

  • All sold takeaway products per day can be exported at Insights > Orders > the ⋮ button > Ordered Products.

💳 Exporting all online orders (reservation, gift vouchers, takeaway orders)

Prepaid reservations with deposits, or full prices, gift vouchers, and takeaway orders are all paid online by guests. The export includes the status of the order (incl. orders with failed payments), reservation date or takeaway date, the guests' names, phone numbers, and email addresses.

Column AA also indicates if guests have subscribed to the newsletter or not.

  • All online orders can be exported at Insights > Orders > the ⋮ button > All Orders.

📓 Exporting all reservations and guest information

All reservation and guest information can be exported. The export includes the dates, times, status (canceled, expired, confirmed), used ticket, guests' names, phone numbers, and email addresses.

Column O indicates if guests have subscribed to the newsletter or not.
Column P shows if the booking was flagged as No-Show.

  • All reservation and guest data can be exported at Insights > Guest > the ⋮ button > Export Bookings.

✨ Exporting all reviews

All customer reviews can be exported, including the name of the guest, the title, the review itself, as well as the day of the restaurant visit or the day of the takeaway order.

💌 Exporting all newsletter subscribers

At the bottom of the dashboard, you can find the number of your total newsletter subscribers.

💡 The export button at the bottom of the dashboard currently only exports newsletter subscribers that signed up while making reservations. We recently added the possibility that guests can also subscribe when placing online orders like takeaway or gift vouchers, helping you to grow your list of subscribers quicker. These subscribers are currently not included in this export. We'll provide a button for a full export of all subscribers in the near future.

  • For a complete overview of all subscribers you therefore also need to run an export of all online orders (see above) and filter this file on column AA 'newsletter'.
