Use Guest Profiles during service

Turn your entire team into a super host by instantly viewing all most important must-knows of every guest

Guests are the core of your restaurant. So of course, you want to understand them and get to know them in the best way you possibly can. This is where Guest Profiles come in very handy. During service, you can instantly view a guests' most important information and 'must knows'.

💡 You can find an overview of all Guest Profiles under Insights > Guests. However, in practice, you will probably use your Guest Profiles most often during service.


Guest Profile preview in the Overview

By default, the Guest Profile preview is switched on when you have a Standard or Pro subscription. This means you will see a preview of both the reservation and Guest Profile when hovering over a reservation.

From the preview, you can...

  • ...Check a guest in and out

  • ...Send a message

  • ...Add a reservation note

  • ...Change the reservation color

  • ...Duplicate or cancel a reservation

  • ...View which other restaurants they've visited when you're a Multi Venue group

  • ...From a mobile device, directly call a guest when clicking on a phone number

When you click on the ✏️ icon, the full reservation details will open.

When you click on the ⭐ icon, the full guest profile will open.

Guest Profile details vs. Reservation details

Basically, everything above the bar, such as Tags and Guest Notes are Guest Profile details. In other words: these details will recur in every future reservation.

If you want to adjust these details you can do so by clicking on the guest's name. The Guest Profile will open and you can adjust where necessary. From here you can instantly add another tag or add/adjust the guest note. Newly added details are saved immediately so you can click the 'x' at the top right when you're done.

Everything below the bar is reservation details. In other words: these details are specific to this reservation. So if you add a reservation note here it will only be visible in this reservation. If you want to create a recurring note, you should add a Guest Note by adjusting the Guest Profile as mentioned above.

Merge Guest Profile details with reservation details

In the detailed reservation, you'll view the Guest Profile details as well. From here you can add a new tag straight away (by clicking on the +) and adjust the Guest Profile by clicking on the name.

When guests make a reservation Guest Profiles are matched on email addresses. Sometimes guests might make a reservation under the same email address, but with a different phone number than the one registered in the Guest Profile. Or they might use a different name than the one mentioned in their Guest Profile. You can then choose to merge the data. There are two ways to do this:

1. Update Guest

When you select this option, you will update the Guest Profile with the reservation details.

For example, if a guest has a Guest Profile with the details mentioned below:

And he just made a reservation under the same name and email address, but with a different phone number, the Guest Profile will be updated with the phone number used when making this new reservation. His Guest Profile will then change into, for example:

2. Update reservation

When you select this option, you will update the reservation details with the Guest Profile details.

For example, if a guest just made a reservation with the details mentioned below:

And in his Guest Profile, he is registered with the same email address and phone number, but under a different name, the reservation will be updated with the name used in the Guest Profile. The reservation details will then change into, for example:

Where else do I see Guest Profile information during service?

When you switch to the List View (at the top left in the Overview) you'll have a clear overview of all your reservations in chronological order. Here you can directly see which guests have a Tag and if you've added a Guest Note. Similar to the Overview, if you click on the star icon, the name, tags, and guest note, the Guest Profile will open up and from here you can instantly make adjustments to a guest's profile.

When you use the Waitlist functionality, you'll be able to instantly view which guests have a Tag and/or Guest Note. Do you place your waitlist reservations manually? This way you will be able to view in the blink of an eye if you want to prioritize certain guests.
